Office Administrator

Broude & Hochberg, LLP seeks an experienced office administrator for a full-time position providing assistance to attorneys and paralegals, including managing schedules, assisting with client intake, overseeing file management, answering phones, and communicating with clients.

Qualifications - Required
  • High school diploma or equivalent

  • Three years of administrative experience working in a professional office setting

  • Proficient in Microsoft Office 365, specifically Word, Teams, and Outlook

  • Proficient in Adobe Acrobat

  • Strong verbal communication skills both in-person and by phone

  • Ability to begin work immediately

 

Qualifications - Preferred

  • Prior experience working in a law firm setting

  • Prior experience using law practice management software, specifically Clio

  • Associate Degree in Business Administration or related field

 

Responsibilities

  • Provide executive assistance to the firm’s two partners, including managing partner schedules, answering phones, and organizing mail

  • Help to coordinate meetings, teleconferences and Zoom meetings, and schedule conference rooms

  • Assist with client intake, including collecting information from clients and entering information into the firm’s practice management software

  • Use the firm’s practice management software to assist with secure file transfers to outside parties

  • Assist with the administrative aspects of case management, including document printing and preparation, physical and digital filing, preparing certified mailings, and organizing matter files

  • Assist with some aspects of non-profit foundation administration
